Steps to Reschedule a Game
Each season, many games are cancelled or rescheduled incorrectly or without sufficient notice. Late schedule changes/cancellations result in significant expenses for the club because referees must be assigned 7 days in advance; if changes occur after the refs have been assigned, the club must still pay the ref fees. Please help us to eliminate this unnecessary expense by following the steps below if you need to reschedule or cancel a game.
1. As soon as you know that your team will not be able to play on a particular date, contact the coach of the team you’re scheduled to play to find a mutually convenient day/time to reschedule. To avoid as much disruption as possible, please ask an assistant coach or another parent to step in as needed before you consider rescheduling a game due to your (the coach’s) availability. Canceling a game should only be considered if both coaches have attempted to reschedule the game and cannot find a mutually convenient day/time.
2. Notify the club scheduler at least 7 days in advance of the original game date. If you have not yet agreed on a new day/time with the other coach, you must still notify the scheduler at least 7 days in advance so that referees will not be assigned to the original game. When both coaches agree on a new date/time, again, notify the scheduler at least 7 days in advance of the proposed game date so that field availability can be confirmed and referees can be secured. This includes games that you want to keep on the scheduled date but want to change to a different time.
3. Rescheduled games cannot be played on weeknights, as field space is very limited due to practices.
4. If you would like to schedule extra games for your team, you are responsible for coordinating with the other coach and securing field space and referees with the scheduler. Please note that ref fees for extra games are the responsibility of the teams. Contact the club office for information regarding ref fees for your age group.
Please keep in mind that ALL referees must be assigned by a certified referee assignor only. The referee assignor will only assign games when notified by the scheduler. Coaches may not make referee arrangements directly with the referees or the assignor.
